Job Overview

Provides front-office support and helps create a professional and welcoming experience for customers, visitors, applicants, vendors, and business partners. Responsibilities include telephone reception, appointment scheduling, confirmations, CRM updates, inquiry routing, customer hospitality, and vehicle intake paperwork.

  • Responsibilities

      • Welcome customers and visitors, answer incoming calls and messages, and route inquiries to the appropriate team member.

      • Schedule appointments, consultations, vehicle intake, customer visits, deliveries, interviews, and internal meetings.

      • Maintain accurate contact, appointment, inquiry, follow-up, and customer information in the CRM and scheduling systems.

      • Prepare intake forms, visitor materials, meeting spaces, hospitality, delivery documents, and customer communications.

      • Assist customers with basic questions while avoiding commitments or technical guidance outside assigned authority.

      • Coordinate incoming and outgoing mail, deliveries, office supplies, reception areas, and general administrative requests.

      • Support sales, service, project management, accounting, recruiting, marketing, and executive personnel as assigned.

      • Maintain professional presentation, discretion, organization, and protection of customer and company information.

    Requirements

      • Reception, customer service, scheduling, hospitality, office administration, automotive service, or related experience.

      • Professional and welcoming communication in person, by telephone, email, text, and other approved channels.

      • Strong organization, attention to detail, follow-through, and ability to manage changing schedules and priorities.

      • Proficiency with CRM, calendar, email, word-processing, spreadsheet, telephone, and document-management systems.

      • Ability to handle customer concerns calmly and route technical, financial, or management matters appropriately.

      • Discretion with customer, applicant, employee, vehicle, schedule, and business information.

      • Interest in custom automotive work and ability to learn basic company services and terminology.

      • Professional appearance and dependable, service-oriented approach.
